Personal Data Protection Policy

We are committed to protecting your personal data. This Personal Data Protection Policy (“Policy”) seeks to inform you of how we manage Personal Data in compliance with the Personal Data Protection Act in Singapore (“PDPA”).

This Policy applies to Oriental Radio Practice Centre aka Guan Yin Citta Dharma Door Singapore (collectively, “Practice Centre”, “we”, “us” or “our”).

By submitting information to us, joining our WhatsApp groups or otherwise interacting with us, you agree and consent to us collecting, using and disclosing your Personal Data in accordance with the terms of this Policy. This Policy supplements but does not supersede nor replace any other consents you may have previously provided to us in respect of your Personal Data. Your consent, pursuant to this Policy or otherwise, is in addition to any other rights which we may have at law to collect, use and disclose your Personal Data.

In this Policy, “Personal Data” refers to any data, whether true or not, about an individual who can be identified (a) from that data; or (b) from that data and other information to which we have or are likely to have access.

 

1.How We Collect Personal Data

1.1 Usually, we may collect Personal Data in various ways including:

(a) in the course of you providing documentation or information to us;

(b) when you communicate or interact with us via telephone calls, letters, fax, face-to-face meetings, our websites, email or other modes of contact;

(c) when you contact us or request that we contact you;

(d) when you respond to our request for additional Personal Data;

(e) when you respond to our initiatives or market research or surveys;

(f) CCTV recordings while you are within our premises;

(g) when you participate in events organised by us;

(h) when you request that you be included in an email or other mailing list, alerts or newsletters;

(i) when you submit your Personal Data to us for any other reason.

 

1.2 If you provide third party Personal Data to us such as the Personal Data of your other Buddhist friend(s), by doing so, you confirm and represent that you have obtained their respective consents to the collection, use and disclosure of their Personal Data on these terms.

 

2.Purposes for which we collect, use and disclose Personal Data

2.1 The purposes for which we collect, use and disclose Personal Data include:

(a) to provide you with information or news about Guan Yin Citta Dharma Door;

(b) to help us manage and improve our services; including: Buddhism propagation activities at the practice centre, first incense activities, both local and overseas Dharma conference and other activities (hotel registration, transportation arrangements, etc.);

(c) to compile, manage, and track our products at the practice centre;

(d) to communicate with you to handle and respond to your inquiries and requests;

(e) to contact you or provide you with information about our events and activities or in relation to matters concerning Oriental Radio Practice Centre or which we believe may be of interest to you, including sending you news about our Dharma conference, general knowledge of Buddhism and Dharma promotion videos;

(f) to manage the security and other aspects of premises, facilities, including carrying out CCTV surveillance and conducting security clearances; and/or;

(g) to facilitate implementing and use of the SafeEntry system and other safe management measures at premises occupied or managed by us, COVID-19 contact tracing and other response measures;

(h) any other purpose relating to any of the above.

 

2.2 In addition, if you are one of our existing volunteers, our purposes for collecting, using and disclosing your personal information include the following:

(a) to evaluate, manage and process your application and suitability;

(b) to manage and compile our human resources;

(c) to plan the roles and responsibilities of volunteers;

(d) to issue notices and precautions related to volunteer work;

(e) any other purpose relating to any of the above

 

2.3 For specific activities and services or in your interaction with us, we may also clearly notify you about other purposes for our collection, use or disclosure of your personal information. In this case, we will collect, use and disclose your personal data for those purposes, unless we explicitly notify you otherwise we will not do that.

 

3.Disclosing your Personal Data

3.1  Personal Data may be disclosed to various parties including:

(a) Oriental Radio Practice Centre Limited, aka Guan Yin Citta Dharma Door Singapore;

(b) our volunteers;

(c) our professional advisers such as our lawyers and auditors;

(d) our partnering hotels during the dharma conference;

(e) any other party as may be consented to by you.

 

3.2  We require that parties to whom we disclose Personal Data implement adequate levels of protection in order to protect Personal Data, and to only process Personal Data strictly for our intended purpose.

 

4.The use of social media software (WhatsApp)

4.1 The social media software WhatsApp requires you to provide your mobile phone number in order to join the different groups formed by the Guan Yin Citta Dharma Door Singapore. We will ask for your consent before joining the group.

4.2 We use this social media software to form groups to send you Buddhist content and activity information that may be of interest to you.

4.3 If you prefer not to use WhatsApp, you can log out of any groups related to Guan Yin Citta Dharma Door Singapore by contacting us.

 

5.Data protection and security

5.1 At our practice centre, it is our priority to protect your personal information. We take any violation of personal data laws very seriously. In order to prevent unauthorized acquisition of personal data, maintain the accuracy of the data and ensure the correct use of the personal data we have obtained, we have formulated a series of reasonable entities, electronic equipment and work procedures to ensure and protect this information.

5.2 You will appreciate that we may not be able to perfectly secure your Personal Data from cyber-attacks, such as hacking, spyware and viruses. Accordingly, you will not hold us liable for any unauthorized disclosure, loss or destruction of your Personal Data arising from such risks.

5.3 When saving your personal data can no longer serve the purpose of collecting your personal data at the time, and it is no longer necessary to continue to save your personal data for legal and publicity purposes, we will stop keeping your personal data, which means we will permanently remove your personal data from our database.

 

6.Keeping your Personal Data accurate and up-to-date

6.1 We endeavour to ensure that the Personal Data we have about you is accurate and up-to-date. We realise that Personal Data changes frequently with changes of address and other personal circumstances. We encourage you to contact us as soon as possible to enable us to update any Personal Data we have about you.

 

7.Withdrawal of consent, access and correction of your Personal Data, and contacting us

7.1 Should you:

(a) have any questions or suggestions relating to your Personal Data or our Policy;

(b) would like to withdraw the permission given to collect, use or disclose your personal information in this Policy; or
